Cards & the embedded inbox
Once connected, SendSeven adds a set of cards to every HubSpot contact record. Each card focuses on one task — the underlying idea is that simple, common actions (send a template, check on a conversation, manage a subscription) never require leaving HubSpot, while anything that needs the full conversation experience hands off to SendSeven's own embedded inbox.

Last conversation
Shows the contact's single most recent conversation at a glance: channel, status (open, assigned, resolved, closed, or snoozed), assignee, the date range and number of messages, and a short summary or snippet.
- Click Open Conversation to open the full SendSeven inbox in a window, already scoped to this contact's conversation — no separate login or tenant picker needed.
- If the contact has no conversation yet, the card shows an empty state instead.

Conversation history
A scrollable list of the contact's past conversations, each showing its date range, message count, channel, status, and summary (once a conversation has been closed and summarized).
- Filter by channel to find, for example, only WhatsApp or only Email conversations with this contact.
- Click Open on any row to jump straight into that conversation in the embedded inbox.
- Click Open full inbox to open the embedded inbox without filtering to one conversation.

WhatsApp Template
Send a WhatsApp template message to the contact without leaving HubSpot.
- Pick an approved WhatsApp template from the dropdown.
- Fill in the template's variables. An inline preview shows what the message will look like as you type.
- If the template has a media header (image, video, or document), attach one — see Uploading media below.
- Click Send.
The card only shows templates for a channel the contact can actually be reached on via WhatsApp; if the contact has no WhatsApp number on file, or your workspace has no WhatsApp channel connected, the card explains why instead of showing an empty template list.

Scheduler
Schedule a message to this contact for a future date and time, with optional recurrence (none, daily, or weekly).
You can schedule either:
- A plain-text message on any channel the contact is reachable on and that supports scheduled free text (for example Email or SMS), or
- A WhatsApp template, with the same variable-filling and media-header experience as the WhatsApp Template card above.
WhatsApp messages sent outside an active 24-hour customer conversation window must use an approved template — so a scheduled future WhatsApp send always has to be a template, never free text. Every other channel supports plain-text scheduling.
The card shows every channel the contact is reachable on, disabling any that can't be used for a scheduled send so you can still see the full picture of how this contact can be reached.

Lists & Subscriptions
Shows the newsletter lists and subscriptions this contact belongs to, and lets you subscribe or unsubscribe them with a toggle.
- Each list shows which channel and contact method (for example, which email address) the subscription applies to.
- Lists that are computed automatically — dynamic lists, or lists mirrored from a HubSpot segment — are shown as read-only, since their membership isn't something you toggle manually per contact.

Sync
Shows this contact's sync status with HubSpot: linked or not, synced / pending / conflict / error, and when it last synced (and in which direction).
- Click Sync now to force an immediate sync for just this contact, in both directions according to your configured sync direction.
- See How sync works for the full picture of how contact sync behaves across your whole HubSpot connection.

The embedded inbox
For anything beyond a single quick reply, the cards above hand off to SendSeven's own Conversations inbox, embedded directly inside HubSpot. It's the same real-time inbox you'd use at app.sendseven.com, so nothing is lost by working from HubSpot:
- Live updates as new messages arrive — no need to refresh.
- AI reply suggestions and the
/suggestslash command (on plans with AI features enabled). - Assign conversations to teammates, just like in the standalone SendSeven app.
You can open the embedded inbox from any contact record via the cards above ("Open Conversation" / "Open" / "Open full inbox"), or from SendSeven's app tile inside HubSpot itself. HubSpot doesn't allow third-party apps to add a persistent item to its own left-hand navigation, so the inbox opens from the Marketplace icon in HubSpot's top navigation → your apps, or from a contact record — not from a dedicated nav entry.

Uploading media
The WhatsApp Template and Scheduler cards both support attaching a media header (image, video, or document) to a template send.
Upload from your computer:
- Click Upload media on the template's header field.
- A secure upload window opens. Choose the file from your computer.
- Once the upload finishes, close the window — the card picks up the uploaded file automatically and shows it in the preview.
Or paste a URL: if your media is already hosted somewhere public, you can paste its URL directly instead of uploading a file.
Size and type limits:
| Header type | Accepted formats | Max size |
|---|---|---|
| Image | JPEG, PNG | 5 MB |
| Video | MP4, 3GPP | 16 MB |
| Document | 100 MB |
Right now, each media header upload is a one-off — there's no library of previously-uploaded files to pick from. A reusable media library (upload once, reuse across templates and sends) is being finalized and will land in a future update.
